Administration

This chapter describes the functions that are not available to all FormFlow users but only to administrators or users appointed by the administrators to manage FormFlow and set up its operation.

Terms and abbreviations

The following list provides the most common terms and abbreviations you might encounter in this document.

AIP (Archival Information Package)

A package with XML structure used to store information on documents included in it. The format is prescribed by the OAIS model and is intended for long-term archiving.

CAdES (Cryptographic Message Syntax Advanced Electronic Signatures)

Defines the requirements for an electronic signature to sign any data (for example documents in common office formats). In this format, signatures, seals and stamps are usually stored in a separate file.

FormApps Designer (FAD)

A tool for designing and editing form applications and smart forms in WYSIWYG mode. The form applications can be the served to users e.g. using FormFlow.

FormApps Server (FAS)

A tool that provides form applications to users of any device with an internet browser (computers, tablets, smartphones), making approval processes and data or document collection available to anyone, anytime and anywhere. With the help of plugins or mobile applications, electronic signature certificates can be used to authorize documents.

Grid

A table with a list of records, displayed in various sections of FormFlow – for example document, process or form lists, but also various administration interfaces. It generally allows record filtering and sorting.

JIP/KAAS

JIP is an abbreviation of Jednotný identitní prostor (unified identity space) – secure address book of public administration bodies and officer user accounts, which is part of Czech POINT.
KAAS is an abbreviation of Katalog autentizačních a autorizačních služeb (catalog of authentication and authorization services) – web service interface providing authentication for users accessing AIS or ISVS using JIP login details and allowing editing of JIP entities and user accounts.

Long-Term Docs Server (LTD Server)

Server-based tool for conversions to PDF/A which guarantees that electronic documents in any organization will be possible to use as evidence in proceedings anytime in the future. Their authenticity will be possible to prove without a doubt, and it will be possible to open and read them on future devices. This certainty follows from thorough compliance with all relevant standards and all requirements by both Czech and European legislation on maintenance of electronic documents.

LTA (Long-Term Archiving)

Long-term archiving of documents so that they stay legible in the future.

LTV (Long-Term Validity)

Long-term validability of a document’s electronic signatures and seals.

P12, PFX

File format for electronic signature certificates.

PAdES (PDF Advanced Electronic Signatures)

Specific technical requirements on electronic signatures attached to PDF documents. They include the encryption algorithm type, attributes used in hash calculation, etc.

Signatures in PDF files are long-term preserved in compliance with the standard ETSI TS 102 778-4 V1.1.2 (2009-12), Part 4: PAdES Long Term – PAdES-LTV Profile. Information used to validate certificates (CRL, OCSP and the certificate chain) is stored in compliance with Annex A.1: Document Security Store, time stamps are attached to the PDF in compliance with Annex A.2: Document Time-stamp.
Log file

A record of various situations, such as a log of specific search attempts, e.g. by the reference number, where the user received an empty result, or a log of login attempts when the user entered an incorrect password. It is the core/FormFlow transaction log.

SFLF

Remote attachment storage.

SIP (Submission Information Package)

A package with XML structure used to store information on documents included in it. The format is prescribed by the OAIS model and is intended for handing documents over to the National Archive.

Records management system (RMS)

An application extension to FormFlow. Covers all legislative requirements on records management and provides all tools needed to create smart forms and digitize processes.

Template

Data file in XSL-FO format used as a template for the individual forms. Templates are created using FormApps Designer.

Transaction log

File containing information on actions performed in the RMS which affected or changed one of the FormFlow or RMS entities – for example a document or file, but also a user or system configuration.

TSL (Trusted Service List)

A list of trusted accredited certification authorities, issued by the EU.

XAdES (XML Advanced Electronic Signatures)

A set of extensions to XML-DSig, which is XML syntax for electronic signatures defining specific technical requirements for electronic signatures attached to XML documents (e.g. xml, isdoc, zfo, fo).

XSD (XML Schema Definition)

A language describing the structure of XML documents.

XSL-FO (eXtensible Stylesheet Language – Formatting Objects)

A markup language based on XML, designed for document formatting.
