Address book

Use the ADDRESS BOOK to manage your contacts in FormFlow, for example the addresses of message senders and recipients for the Electronic records management service, as well as other identification and contact details. The managed contacts can include electronic and postal addresses and data mailbox addresses. The Address book is GDPR-ready, meaning that it can register the reason for storing each detail and the location of the contact’s consent with saving their personal data or other related document.

Access to the ADDRESS BOOK module is usually limited to the selected users who are authorized to edit the contacts. The ADDRESS BOOK module is placed on a separate tab containing a single button: Address book. Click the button to display the whole address book interface.

After you click Address book, the ribbon will display several buttons:

  • New – inserts a new contact in the Address book. Described in chapter Inserting a new entry.

  • Entity – the address book can contain several separate sections for the individual entities you manage. Use this button to switch between them. For more details, see chapter Entity selection.

  • Consent with GDPR– displays Electronic records management service documents labeled Consent with GDPR (described in chapter List of documents containing consent with GDPR).

  • The button Display duplicates can be used to request a list of any duplicate records in the Address book.

There are four buttons for subject search:

  • Search in ARES – search for a contact in ARES – Access to Registers of Economic Entities.

  • Search in DMIS – search for a contact in the address book of DMIS – Data Mailbox Information System.

  • Search in ROB – search for a (natural) person in the civil registry of Basic registers.

  • Search in ROS – search for a contact of type entrepreneur, legal person, public administration body.

If the searched contact is found in one of the registers, you can copy their details in the Address book.

The main part of the page displays a list of contacts for the selected managed entity based on the current filter. The list is described in chapter Contact list.
