Archival document classes and ranks

Each archived object must be assigned a class and a rank. Open the screen Administration of archive document classes and ranks by going to ADMINISTRATION  Archive  Class and Rank.

The setting process is the same for both document classes and document ranks; this chapter contains instructions for both of them.

Existing classes or ranks are displayed in a table. Every table row corresponds to one class or rank. Switch between the Document classes and Document ranks tabs to select which category to view.

Creating a new class or rank

To create a new document class or rank, click the Add a new class or Add a new rank button placed above the list of existing classes and ranks.

A dialog window is then displayed; enter the Code and Name for the new class or rank.

There are four options available for the Automatic availability in folders.

  • Select is automatically available in all folders to make the new class or rank available to all documents regardless of the folder where they are placed.

  • Select is automatically available in all document folders to make it available in all document folders and to display the Archival folders options. Use it to select which in archival folders the class (rank) will be available besides document ones. Click the field to expand the list of archival folders. You can select more than one folder.

Click Save to confirm the settings. The new entry is placed in the list. Now click the prava Set permissions button in the Actions folder next to the new entry and set access permissions to users or groups as needed.

To remove the class or rank, click popelnice Delete the document class or Delete the document rank. The entry is then removed from the list. If the button is not available for an entry, it cannot be deleted.

Editing archival classes and ranks

The Actions column contains a set of buttons to edit the entry, followed by Name (text displayed in lists when selecting the class or rank) and Code (unique string).

Permission settings

The button prava Set permissions displays a dialog where you can grant or remove permissions to (from) users, groups or roles.

To narrow down the user list, use the filter controls on the left above the list of permissions. Then set the permissions by changing the options in the table columns – available options are No permissions, Metadata, Metadata + latest version and Metadata + all versions, or Yes/No.

Editing a document class or rank

Click edit Edit document class or Edit document rank to open the dialog where you can edit the Name and Code for the class or rank, and its assigned folders.

Displaying effective permissions

Click figurka Show effective permissions to display a window with a list of all users with permissions granted, either directly or through membership in a group or role. The assigned permissions are displayed as a green check mark in the corresponding column. A red cross means the user does not have that permission.

Setting up class and rank permissions

Click prava Set permissions for a document class or rank to display a window where you can assign access permissions to individual users or whole groups and roles.

Use the tabs in the upper part of the page to switch between a list of users and a list of groups and roles. A filter is also placed above the list, and you can use it to look up individual entries.

Edit the individual permissions for every entry (user, group or role) as needed. There are several levels to Permission to read and Permission to edit; select one of the following:

  • No permission – no permission is granted to a document with this class or rank;

  • Metadata – grants the permission to read/edit the metadata for a document with this class or rank;

  • Metadata + latest version – grants the permission to read/edit the document metadata or the document itself, but only its latest version;

  • Metadata + all versions – grants the permission to read/edit the document metadata or any version of the document.

In column Permission to grant permissions, select from Yes/No to grant the permission to grant the same privileges to other users.

Then click the Modify permissions button placed above the list of users or groups to confirm any changes. Return to the list of classes or ranks by clicking the Back link in the upper right corner.

If you want to check the overall permissions assigned to a user (i.e. permissions assigned both by being a group/role member and individually assigned permissions), return to the list of classes or ranks and, in the Actions column, click figurka Show effective permissions.

Bulk edit of permissions

If you select the checkbox for several items in the list of classes or ranks and then click the Bulk edit of permissions button, a similar dialog will be displayed but the settings will apply to all selected classes or ranks.

In such a case, the dialog header shows the text Modify privileges for document classes or Modify privileges for document ranks and, next to it, the button Show selected classes or Show selected ranks, which you can use to display a dialog window with a list of classes or ranks this setting will apply to.

For the rest of the setting, proceed the same way whether setting up a single entry or several at once.
